Hosted phone systems for Canadian businesses of 5–200 people—unlimited extensions, multi-site ready, Canadian data residency, and pricing that finally makes sense.
Most businesses still overpay for aging hardware or rigid carrier bundles. IT Hands Free Cloud PBX is managed by us, hosted in Canada, and built for teams that need to answer from the office, home, or the road—without compromising professionalism or control.
No PBX appliance to buy, power, patch, or replace. Your phone system lives in the cloud.
Platformed in a secure Canadian datacenter with redundancy on power, internet, and servers.
High-availability Canadian infrastructure with daily backups. Our carrier has had three service-affecting incidents since 2011 — each resolved within hours.
Unlimited support for operational-impacting issues, plus weekday user support—managed by the same team that runs your IT.
Shared and Dedicated are the core of the practice—from a single office to multi-site operations. Extensions is available as a light entry option; most clients start on Shared or Dedicated and stay for years.
From $25.50 / mo
Our primary path for growing teams—multi-tenant hosting with unlimited extensions, support, and daily backups when full isolation is not required.
From $55 / mo
Isolated instance with full control over extension numbering—and 100% portability if you ever move providers. Built for multi-location operations.
Pay for what you use
A lightweight entry path for a single professional who only needs a number and extension features—hosted on the shared platform. Not our primary focus for growing businesses.
Shared vs Dedicated in short: Dedicated is isolated—you choose any extension numbering plan and can take the virtual appliance with you if you leave. Shared is multi-tenant— extension numbers come from the shared pool already in use, and the configuration is not portable.
Once core features, IVR script, and numbers are selected, a new Shared or Dedicated Cloud PBX is typically live in 30–60 minutes.
The best signal is not a flashy feature list—it is clients who stay, scale, and rarely need to call because the system was designed for how they actually work.
We’ve used VoIP in our own business since 2001—back when running your own platform was nearly impossible or prohibitively expensive. From about 2012–2014 the technology matured enough for a focused practice to own the stack. We’ve run our Cloud PBX platform on top-tier SIP trunks since 2014, with the quality, features, and support that period finally made practical.
Multi-site scale
6 sites · 39 DIDs · rate held since onboarding
Our largest Cloud PBX deployment has been with us since 2019—multiple sites, dozens of handsets, and a full DID inventory on a Dedicated instance. That client is available for a reference conversation.
Longevity
15 years. Almost never hear from them.
Another client has been with us for fifteen years. Once the solution is tuned for how the business operates, it simply works—and that quiet reliability is the point.
How often they actually need us
Across all of 2025, our largest Cloud PBX client — eight sites, seventy-five handsets — opened four support tickets totalling ninety minutes. A DID reassignment, a line fault, a quote for new desk phones, and a question about whether a USB headset would work.
That is the whole point of the way we build these. Support is included and unmetered, but a properly configured phone system shouldn't need much of it.
What our uptime actually looks like
The platform runs on Canadian cloud infrastructure engineered for high availability. Since 2011 our carrier has had three service-affecting incidents, each resolved within four to six hours of intermittent disruption. That is the whole list.
We do not sell a contractual SLA with service credits, because we depend on our cloud provider and carrier for the underlying network and we would rather not promise something we do not control. We would rather show you the record. Section 4 of our terms sets this out in full.
Conference rooms, queues, recording, Follow-Me, softphones—the capabilities mid-market teams expect, without enterprise sticker shock.
*IVR / multi auto-attendant trees are available on Shared and Dedicated tiers. Extensions tier includes full feature set at the extension level without IVR.
Every DID can have SMS/MMS enabled—so texting lives on the same numbers your customers already call. Assign messaging to one person, or share a site number across selected extensions so the right team members can receive and reply.
SMS / MMS on every DID
Enable texting on any number—business SMS and MMS without a separate messaging vendor.
Individual or shared inbox
Assign SMS/MMS to one extension, or share a site DID across selected extensions so the right people can receive and reply.
SMS from $0.015 / message · MMS from $0.04 / message (current schedule).

The old bill charged a licence for every person, then charged again for the auto-attendant, again for each fax line, and again to hold a phone number. We charge for one PBX, the numbers, and the minutes. Same organisation, same sites, more features.
Figures taken from the client's September 2019 invoice from their previous provider and IT Hands Free invoice 2026-126 for June 2026 services. Both are pre-tax and reconcile to the published line items. Both invoices are linked below with client and staff details redacted. Reproduced with the client's permission.
Most hosted phone providers bill a licence for every person — typically $15 to $35 per user per month. We bill for the PBX, the numbers you need, and the minutes you use. Add ten staff and your platform fee doesn't move; only your call volume does. Each person needs a phone or a softphone, and that's the extent of it.
| Staff | With us | Per person | Per-seat @ $25 |
|---|---|---|---|
| 5 people | $48.50 | $9.70 | $125 |
| 10 people | $66.50 | $6.65 | $250 |
| 20 people | $102.50 | $5.12 | $500 |
| 50 people | $210.50 | $4.21 | $1,250 |
| 150 people | $570.50 | $3.80 | $3,750 |
Notice which column moves. On a seat licence your cost per person never improves — it is $25 at ten people and $25 at a hundred and fifty. On ours it falls, because the platform fee is the same whether five people use it or a hundred.
Metered pricing only loses at very heavy volume — roughly 18 hours of talk time per person per month. If you are anywhere near that, tell us and we'll look at a flat rate instead.
Figures use a Shared PBX, one DID, e911, and 180 minutes per person per month at the published rates on this page. Per-seat figures use a $25 per user per month list rate, within the range major providers publish for comparable features; your actual quote from any provider will vary with term, features and negotiation.
Setting up a phone system for ten people on one site is a couple of hours' work. Setting one up for forty people across three sites, with departmental menus, ring groups and out-of-hours routing, is most of a week. Charging both the same would mean one of you subsidising the other, so we don't. The fee tracks the work.
| Your deployment | Build & configuration |
|---|---|
| Up to 10 extensions, single site | $250 |
| 11 – 25 extensions, single site | $500 |
| 26 – 50 extensions, up to 3 sites | $900 |
| 51+ extensions, or 4 or more sites | Quoted after scoping |
Whichever band you land in, we design the call flow with you and configure all of it — extensions, auto-attendant, ring groups, voicemail, business hours, holiday handling. You are not handed a portal and a manual. Most systems are in service within 30 to 60 minutes once the configuration is agreed.
Numbers are $45 each to acquire or port, with bulk discounts. Training and orientation is $250 for a two-hour block, with further blocks at the same rate. Professional voice talent for your auto-attendant is $100 per hundred words, or record your own from any handset at no charge.
Bands reflect configuration effort only. There is never a per-extension charge, on setup or monthly. If your deployment sits near a boundary we will tell you which band applies before any work starts.
An answering layer that sits in front of your existing extensions and IVR. It picks up when nobody can, handles the routine, and hands the rest to a person — on the same Canadian-hosted platform, with the same numbers.
Shared and Dedicated clients get access to the PBX admin dashboard—configure routing, IVR, queues, users, and system settings without waiting on a ticket for every change.
Every user gets a web-based control portal to fully manage their own extension— presence, forwarding, voicemail, and day-to-day settings—so the team stays in control without admin overhead.
License a softphone monthly, bring your own SIP device, or purchase desk and portable handsets outright. Hardware you buy is yours—no rental lock-in.
Desk and portable phones are a separate client purchase. We can advise on Fanvil models that match your call volume and feature needs. Open-SIP devices from other vendors will register; we validate end-to-end behaviour on Fanvil and Grandstream.
ATA devices and handsets remain client-owned after purchase. Softphone licensing is billed monthly with your Cloud PBX services.

911 works differently on internet phone service — read this firstWe sell metered minutes rather than a flat unlimited rate because, for most business calling patterns, metered costs less — often far less. If your volume is high enough that a flat monthly rate would save you money, we can look at one with you. It is a conversation, not a package: we review your actual usage and quote against it.
